Building maintenance tracking: a simple workflow for property managers

A leak, stopped elevator or broken light may be reported by several residents through different channels. Without a shared register, requests are duplicated, forgotten or impossible to explain.

A lightweight workflow turns each report into a traceable task from the first photo to final validation.

1. Capture a complete incident record

Record an exact location, factual description, date, reporter and photo when available. Give every issue a unique number so residents, managers and contractors refer to the same case.

  • Supporting photos or files
  • Reporter contact details

2. Prioritize by risk and impact

Use rules everyone understands. Safety, water and electrical risks need immediate attention, while cosmetic improvements can enter planned work. Priority should follow impact, not simply the number of messages received.

3. Track contractors and costs

Store the responsible person, scheduled date, accepted quote and actual cost. Keep important exchanges and invoices with the incident to support oversight and reporting.

4. Close with evidence

Do not close an issue merely because a contractor left. Add an after photo, document the work and obtain confirmation. Review recurring incidents to identify equipment that should be replaced rather than repeatedly repaired.
