Moving from Excel to property management software: a practical plan

A checklist for cleaning condominium data and migrating units, residents, balances and documents into dedicated software.

Excel is useful at the beginning, but duplicated versions, altered formulas and scattered files become risky as a property portfolio grows. Migration should not mean copying every old file into a new tool.

The goal is a verified database, a clear cutover date and simple working rules.

1. Inventory before importing

List files containing buildings, units, contacts, fee calls, payments, expenses and documents. Identify the authoritative version and duplicates. Decide how much historical information is genuinely useful.

2. Clean the core data

Standardize names, phone numbers, dates and unit identifiers. Every unit needs a stable ID connecting its owner, payments and documents.

  • Merge duplicates
  • Separate names, phones and emails
  • Check inactive or sold units
  • Document disputed balances

3. Choose a cutover date

Set a date after which new transactions exist only in the software. Back up source files, import the data and reconcile balances against an agreed reference statement.

4. Test and train in stages

Pilot one building or a small user group. Test everyday actions such as recording a payment, producing a receipt, posting an announcement and opening an incident. Give each role only the access it needs.

  • Allow a short verification period
  • Archive old files as read-only
